Terms of Service

Asset FLOW is a property service operations platform covering tenant request intake (QR and portal), work-order dispatch, contractor management, asset and HVAC lifecycle tracking, water delivery management, quoting and invoicing, and reporting. Access is organized into client workspaces identified by a Client Code provided by your property manager or by FlowWorks.

• Accounts are provisioned by your property administrator or created via invitation. You are responsible for keeping your password confidential; shared accounts are not permitted.
• Each account has a role (e.g. super admin, admin, auditor, client admin, dispatcher, contractor, tenant) that determines what data and actions it can access. Attempting to circumvent these controls is a material breach.
• You must be at least 18 years old to hold a staff or contractor account.

• The Service is offered by subscription: a monthly platform fee plus a per-technician fee, as published on the Pricing page. Enterprise arrangements may be custom-priced.
• Fees are quoted in PHP (or USD by agreement) and are due per the payment schedule in your order form or invoice. Prices exclude applicable taxes, which you are responsible for.
• We may change published prices for new subscriptions or renewals with at least thirty (30) days' notice. Fees already paid for a current term are not affected.

You agree not to:

• Use the Service for unlawful purposes or in violation of these Terms;
• Upload malicious code, probe or breach the Service's security, or access data belonging to another client workspace;
• Knowingly enter false asset, unit, or service records, or misuse the platform to harass staff, contractors, or tenants;
• Reverse-engineer the Service except as permitted by applicable law.

• You retain ownership of the data you enter (units, assets, tenants, job records, documents). FlowWorks processes it only to provide the Service, as described in the Privacy Policy.
• You may request an export of your data in a standard format (CSV) at any time; for terminated accounts, export requests are honored for thirty (30) days after termination.
• FlowWorks owns the Service, its software, designs, and derived, de-identified statistics.

We target high availability and apply reasonable efforts to restore the Service promptly after outages. Quotes issued through the platform follow the 24-hour SLA trigger behavior described in the product documentation. Support is provided during business hours at support@flowworkssystems.com; Enterprise plans may include priority support as agreed in writing.

We may suspend accounts that breach these Terms, threaten the Service, or remain unpaid after reasonable notice. You may terminate at any time by written notice; termination ends active subscriptions at the close of the current paid period. Sections on data ownership, liability, and governing law survive termination.

The Service is provided "as is" except for the express commitments in these Terms. To the maximum extent permitted by law, FlowWorks is not liable for indirect, incidental, or consequential damages, and our total aggregate liability is limited to the fees you paid in the twelve (12) months preceding the claim. Nothing in these Terms limits liability that cannot be limited by law.

We may modify or discontinue features of the Service, with reasonable notice for material changes. We may update these Terms; the current version is always published on this page with its effective date. Continued use after changes take effect constitutes acceptance.

These Terms are governed by the laws of the Republic of the Philippines. Disputes will be resolved in the courts of the appropriate venue in Cebu, Philippines, unless otherwise agreed in writing.
